The Childcare Bookkeeper is a trading name of ODVI Pty Ltd (BAS Agent 24666377), operating as ODVI Consulting & Bookkeeping ("we", "us", "our"). We are committed to handling personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth). This policy explains what we collect through this website, why, and what rights you have over it.

Information we collect

We collect personal information you give us directly through this website:

  • Quote calculator: your name, phone number, email address, and details about your centre (licensed places, staff numbers, services selected) so we can prepare a bookkeeping quote.
  • Live chat: your name, email address, and the content of the conversation.
  • Newsletter signup: your email address.
  • Usage data: general analytics about how visitors use the site (see Cookies & analytics below), collected automatically rather than submitted by you.

How we use it

  • To respond to quote requests and enquiries, and to prepare and send bookkeeping/payroll service proposals.
  • To provide ongoing bookkeeping, payroll, BAS and CCMS services to clients who engage us.
  • To send occasional updates on childcare industry compliance and award changes, only to people who subscribe.
  • To operate the live chat feature, including notifying our staff of a new enquiry.
  • To understand and improve how the website is used, using aggregated, non-identifying analytics.

We do not sell or rent your personal information to any third party, for any purpose.

Who we share it with

We only disclose personal information where it's necessary to run the service above:

  • Email delivery - quote proposals, chat notifications and newsletter updates are sent via our email provider (Google Workspace / Gmail).
  • Staff notifications - a new live chat enquiry triggers a push notification (via Pushover) to our staff's phone, containing your name and question only.
  • Analytics - we use Google Analytics (GA4) to understand site traffic in aggregate. Google's use of this data is governed by its own privacy policy.

We do not use offshore call centres or resell your data to marketing lists.

Data retention and security

Quote requests and newsletter subscriptions are retained for as long as reasonably necessary to provide our services and comply with our own record-keeping obligations. Live chat conversations are automatically deleted 90 days after they're closed or resolved. Access to the operator dashboard that reads chat and enquiry data is restricted to authenticated staff only.

Cookies and analytics

This site uses Google Analytics (GA4), which sets cookies to distinguish visitors and measure site usage. You can opt out of Google Analytics tracking using Google's browser add-on, or block cookies entirely through your browser's settings. Blocking cookies won't prevent you from using the quote calculator, chat, or contact form.

Access and correction

You can ask us what personal information we hold about you, request a correction, or ask us to delete it, at any time. Contact us using the details below - we'll respond within a reasonable timeframe, generally within 30 days.

Complaints

If you have a concern about how we've handled your personal information, contact us first so we can try to resolve it directly. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC).

We may update this policy from time to time as our services or obligations change. The "last updated" date at the top of this page reflects the most recent revision.
